UToday is the University of Calgary’s daily online news source, published by University Relations. Created in September 2008, UToday offers the day’s top news, research discoveries and key events. Every day U of C researchers, staff and students make the news locally, nationally and internationally. It is a connection and engagement tool designed to help readers feel more connected to the university community and provide the information on ways to get involved in campus and activities. It’s our goal to ensure the campus community has the most up-to-date information as possible.
PURPOSE
The purpose of this newsletter is to provide guidelines for content, submissions, distribution and the overall production of UToday to ensure consistency and to provide information to faculty and staff who wish to contribute to UToday.
Please note, that these are guidelines and changes to scheduling, delivery etc. can be made by UToday editors at any given time.
DELIVERY
UToday is e-mailed daily to approximately 5,500 staff and faculty. Visitors to the U of C website can access UToday under the News section.
External subscribers may be added upon request. Email utoday@ucalgary.ca.
The lists that UToday is sent to are populated by Information Technologies and Human Resources on a nightly basis. It is not feasible to unsubscribe individuals from the lists. The same lists are also used for emergency messages, president's messages, etc. UToday is sent to all staff and faculty and is part of the university's commitment to improve internal communications.
UToday is scheduled to be e-mailed daily before 9 a.m. This time may vary in extenuating circumstances.
During non-peak academic times (ie. Christmas break and summer), UToday may be delivered less frequently. This decision is made by the UToday editors.
NOTE: UToday is not delivered en masse to students. If you have a student-oriented message, this can be considered for placement on the U of C main website.
CONTENT GUIDELINESStandard content in UToday includes news and research, an events listing and bi-monthly features (Faces of Philanthropy and Postcard). Content is typically kept at 3-4 news stories per day depending on the volume of news happening on any given day. A scheduled news item can be moved to another day if more timely content is needed to fill the space. This is an editorial decision and is made on a case-by-case, day-by-day basis.
- All content should be of interest to the broader university community—mainly faculty and staff. For example, content that is very specific or targeted in nature may not be appropriate for UToday.
- Events included in the events listing are events hosted by U of C faculties, departments or units. For event listings, please submit a date (month and day), short working title (two to five words) and a URL to more information.
- It is the goal of UToday to represent all faculties, department and institutes.
- UToday editors have made the decision to exclude advertising. UToday’s purpose is not to generate revenues, rather it is a corporate communications tool designed to deliver campus news.
- Stories should be 300-400 words maximum. This length is ideal for online reading.
- Where possible, a photo, graphic or some type of art should accompany each story. Please include a cutline (description of who is in the photo or what’s happening, and if the photo needs to be credited with the photographer's name).
- UToday content should follow the U of C’s style guide. (www.ucalgary.ca/news/styleguide)
SUBMISSIONS
- Advanced notice of an event (whether it is being published as a listing or a story), is appreciated.
- Content submissions/pitching story ideas can be sent to utoday@ucalgary.ca.
- You are encouraged to pitch your story to the editors of UToday in advance so that it gets put on the schedule, and the editors can assist, if needed, in the direction or content of the story.
- Content is due before noon, two days before story is being published to account for any back and forth editing/changes that may be required.
- Content should be submitted in a word document; photos as jpg.
- Submissions are not guaranteed placement in UToday. Articles may be moved to different publication dates or dropped altogether without notice. These decisions are made by the UToday editors.
